Director of Communications Report

I want to thank Boo (Editor) and Lightning (Web mistress) for their fine work on getting the Accord back up and running on a regular schedule. We had two issues put out close together since the Winter 2006 issue was delayed by events out of our control. It is my intention that we get back to publishing an issue every 3 months.

Winter - January 1st
Spring - April 1st
Summer - July 1st
Fall - October 1st.

For each issue a theme will be announced with the submission deadline approximately one week prior to the Publish date. The actual deadline date will be announced by the Editor. All submissions should be sent to accord@magickal-arts.org. We are always looking for content so please do not hesitate to send in content. This is publication belongs to all of CMA so help us bring it back.

Director of Finance

CMA is currently running in a profitable mode. We do however need to raise additional capital during this year to pay off a $ 4000 promissory note to a member of CMA who graciously loaned CMA money at the beginning of 2005 when we were almost $ 7000 in the red from 2004. If you have the ability to help specifically with this project please make a donation and mark it "Loan Repayment" and send to CMA , PO Box 8030 Ft Worth Texas 76124-0030.

During this quarter we started entering information into a new on-line database for CMA. This is a professionally run portal that CMA pays to access. The expected cost to CMA is about $ 2.25 per member per year. This service will eventually also host our website. Features include registration for events up to 2 years in advance, automatic notice of renewal by email and many other features including being able to load a picture of your self (members only viewing) if you wish. You will be able to maintain your own personal information and determine what information (if any) is available to other members. Calendar features to remind you of upcoming CMA events and work ends, holidays, etc., chat rooms, the ability to conduct polls and several other features not yet released. Access to this portal by the membership will occur shortly after Beltane.

We are now able to take Visa, MasterCard, Amex, Discover and E-checks for any CMA event, donation or project. We will have this ability at the event for registrations, renewal, auction payments and donations. We also instituted a Pagan Pay Plan which allows you to register for an event with a down payment of $ 25 and pay off the balance before the event with no interest charges. The money is refundable up to the first day of the month the event is held (April 1 or October 1 typically), this is a no risk easy way to attend events and pay the cost at your convenience.

We have also developed 2, possibly 3 solutions to Save CMA form possible loss of the property. 2 of which could conceivably pay off the property cost within the next 2 1/2 years if we get participation from members. Details will be available at CMA One at the event and on the website starting April 10, 2006.

It is time to determine whether CMA should keep our land or let it go. The Finance group and the Board is confident we can keep the land with your help and with out raising event fees. The other available solution is to sell the land to another non profit agency. PLEASE attend the Great Works meeting or Come by CMA 1 Finance table and ask questions and see how you can help at ANY level. The decision is the memberships as to the future of CMA.

We also are looking for someone to run for Finance Director for 2007. This is not a difficult job. You do not need to be an accountant or have finance experience. It does require someone whose only interest is keeping CMA healthy financially and has good commons sense and an open mind.

Understanding Quick-books accounting is an asset but can be easily learned. Currently we have an accountant to handle our books and hopefully will continue to have this person or another to handle the actual boo keeping. This is the ideal system where the Director that is responsible for decisions and spending, is not the person maintaining the books. This is one of the best checks and balance systems available.

ONE FINAL NOTE: Registration forms for Samhain will be available for the first time in CMA history at the Beltane event so you may register early.

Director of Records Report

Happy Spring Everyone!

Review, collating and consolidation of CMA Records remain an ongoing process. I am gratified to report that we, as a corporation, are moving towards a more secure and archival level of storage and loss of documentation due to environmental damage should no longer be an issue. As time permits, paper copies of meeting minutes and other pertinent documents are being converted to pdf format for ease of additional back-up storage. Specific corporate historical documents have been recovered that were once believed lost. Additionally, certain measures for standardizing document filing are being implemented.

However, to adhere to my own, and the Board’s, belief in complete disclosure, I am compelled to let you know that despite my best efforts and those of the individuals who have served before me, there are gaps that I have been unable to fill. So, I am asking you, as a member, to search your own memories, old newsletters and old Accords to assist me in recovering what we have lost. Listed here is what I have not been able to find. All are minutes of Great Works meetings over the years. If you have or know where I can go to obtain them, I would be grateful.
